In this article we'll go through the steps required to set up Soundtrap Google Sync with a school or district.
First thing first, you need to check two things before you start:
- Super-admin role in Google Account
You need to be a Super-admin with administrative rights to access the Google Organization Unit (OU).
- Super-admin Google account needs to be an Owner of the Soundtrap account
If you started the Educational account with the Google account this will be set by default. If you're not the owner of the account, ask one of the existing owners to assign you the role of owner.
1.) Go to www.soundtrap.com and click Login in the upper right corner.
2.) Click the Log in with Google button and use your Google Account that has administrative rights to access the OU.
3.) Go to Edu Admin > Google Sync (Note: If you do not see the Edu Admin or Google Sync, you're not an owner of the account, ask the existing owner to make you an owner).
4.) Click on Google Sync. The first time you setup the sync configuration, you'll be asked to allow Soundtrap to access your Google Account data. Click the “Allow” button to continue.
5.) The Google Sign In dialog box will appear asking you to choose an account, sign-in using the account that has the administrative rights to access the OU.
6.) The Allow Access dialog box will then appear, asking you to allow Soundtrap to view your domains and the users in those domains. Click the Allow button to continue.
7.) Copy the Client name and the API scopes as shown below.
8.) To configure, go to https://admin.google.com (open another tab or window) and do the following:
a.) Click on Security
b.)Go to Advanced settings, click on API Permissions.
c.) Paste the Soundtrap Client Name and API scope (As described in Step 7). Now click Authorize.
d.) Once you are done with the above steps in your Google Admin, go back to Soundtrap and click the Allow button in the Sync with Google dialog inside Soundtrap.
9.) If the authorization is set up correctly and Soundtrap is allowed to access your Google OU account, the dialog will show all the domains that you have granted access to. Select the domain that you want to sync by clicking on the checkbox and then click Next.
10.) Next you'll need to configure how to handle the removed and updated users. Click Next after selecting the options you preferred.
Do nothing when the user is deleted
Nothing will be done to this user. The user will remain in the account with a seat (if assigned a seat)
Remove user from the educational account but keep as a free user
The user will be converted to a consumer account and will be removed from the educational account.
Unseat the user in the educational account
The user will remain in the educational account but will not have a seat.
11.) Select which organizational units you want to sync by clicking the checkbox and specify the role for each unit. When you are done, click the Sync button.
12.) Once the configuration is done, a message will appear at the bottom of the page.
Configurations! You have now successfully configured your Soundtrap account to automatically sync with your Google OU. All users in the organization units that you chose to sync will be able to login to Soundtrap using their Google account and a user account will be created for them and a seat will be assigned (provided that your account has enough seats available).
Resetting the configuration
In case an error related authentication occurred or something that prevents you from configuring your Google Sync integration and you will see the image below, you have the option to Reset the existing configuration and start fresh.
NOTE: Reset will delete all existing configurations and authentication, so you will need to redo all the Setup process again but it will not remove any users already added in the account.
